Who we are
Pronto Surveys is a trading name of PFS (MCR) Limited, a company registered in England and Wales (company number 16534188). We carry out fire door inspections and surveys across the UK. What information we collect
- Details you give us when you request a quote or contact us: your name, email address, phone number, company, and the property address and job details.
- Details about the jobs we carry out for you: site addresses, site contacts, access arrangements, inspection notes, photos of doors and our reports.
- Contact details for site contacts or tenants that you or your client give us so we can arrange access.
- Records of emails and texts we send you about your job.
How we use it
- To reply to your enquiry and send you a quote.
- To arrange, carry out and report on inspections.
- To send you updates about your job by email or text (for example booking confirmations, reminders and reports).
- To keep proper business and accounting records.
We will not sell your information, and we do not use it for advertising.
Our legal reasons
- To take steps at your request before entering into a contract, and to perform our contract with you.
- Our legitimate interests in running our business, arranging access and keeping our clients informed.
- To comply with legal obligations, such as keeping accounting records.
Email open tracking
Some emails we send about your job (for example booking confirmations and updates) contain a small invisible image that tells us when the email has been opened. We use this only to know that important job information has reached you. It records the time the email was opened and basic technical details such as the type of email app. We do not use it for advertising. If you would prefer we did not track opens, email info@prontosurveys.co.uk and we will turn it off for you.
Who we share it with
We use trusted service providers to run our business, such as our email, database hosting and text message providers. They only process your information on our instructions. We may share report information with the client who instructed the inspection, and we will share information if the law requires it. Some of these providers may store data outside the UK; where they do, appropriate safeguards are in place.
How long we keep it
We keep job records and reports for up to 6 years after the job, for business, insurance and legal reasons. Enquiries that do not lead to a job are deleted after 12 months.
Your rights
You can ask us for a copy of your information, ask us to correct or delete it, ask us to limit or stop using it, or object to how we use it. Email info@prontosurveys.co.uk. You can also complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113), but we would appreciate the chance to sort things out first.
